Data and Document Coordinator

Your Tasks:

Position Description Summary:
The Data and Documentation Coordinator is responsible for supporting the Ocean Import team with data and documentation distribution, opening the files used by departments and branches to track, control, bill and manage shipments from Asia to North America.

Principal Accountabilities (The following is intended to describe the general nature and level of work being performed.  It is not an exhaustive list of all expectations):

  • Effective and efficient data entry for File shipment creation
  • Container / Shipment Internet Tracking & Tracing
  • Container / Shipment Tracking & Tracing via telephone
  • Follow-up on documents from Schenker overseas office
  • Proactively identify potential issues and work to resolve quickly
  • Accurate and efficient data entry skills
  • Distribution of arrival notices, pick-up numbers, hold/examination notices, freight invoices and other ancillary charges, notices or invoices.
  • Check and verify Tango reports to ensure shipment activation in a timely fashion
  • Print documents from Origin offices
  • Creation of Admin orders for Tango
  • Timely and Effective follow-up on documents from Schenker overseas office
  • Consistently meets strict deadlines in a time-sensitive, fast-paced environment

Our Requirements:

Knowledge and Skills:

  • 1 year of industry experience preferred
  • Keyboarding speed – 60 to 70 WPM
  • Team player
  • Knowledge of Microsoft programs ie. Excel and Word, intermediate level
  • Able to work with minimal supervision
  • Accuracy and attention to detail
  • Learning agility / Fast Learner
  • Proactive, positive, enthusiastic and self-driven
  • Ability to multi-task in fast paced environment
  • Effectively manage stress
  • Knowledge of Freight Forwarding / Supply Chain Logistics
  • Knowledge of Incoterms
  • Knowledge of Ocean Freight Operations
  • Knowledge of ports and geography
  • Understanding of carriers’ service and routing
  • Ms Office skills required
  • Must be detail oriented and accurate when processing documentation
  • Consistently meets strict deadlines in a time-sensitive, fast-paced environment
