Position:      Marine Operations Coordinator

Location:      Waterfront Shipping - Vancouver

Reports to:  Manager, Operations

Position Summary

 

The Marine Operations Coordinator is primarily responsible for the day-to-day operations of Waterfront’s fleet, COA and Spot vessels, with detailed focus on utilizing Waterfront’s shipping (WFS) resources in the most economic and efficient way.

The incumbent will also be responsible for assisting the Manager, Operations in establishing operational standards and procedures, KPI evaluations and any other projects assigned by the manager.  The Marine Operations Coordinator works closely with the operations team to achieve our overall goals.  The incumbent will also be responsible for vessel and port coordination, data-keeping, shipping accounting, ISO and Responsible Care.  These areas play an important role in Waterfront’s Continuous Improvement program.  This person will report directly to the Manager, Operations and maintain an open and continuous level of communication with the Waterfront Shipping team. The Marine Operations Coordinator also works closely with our customers, vessel’s Masters, Agents, Owners and Bunker Brokers.

Responsibilities

Vessel coordination:

  • Build strong relationships with vessel’s Masters
  • Make periodical assessments of Owners and ships
  • Provide adequate voyage instructions
  • Keep track of vessels off-hire and declare vessels off-hire when applicable
  • Coordinate with Masters for maximum cargo intake and arrival times, and check bunker consumption
  • Provide tank cleaning instructions and coordinate its execution with the vessel
  • Maintain KPIs for vessel’s performance and keep data updated for assigned area

Port coordination:

  • Build strong relationships with agents and make nominations
  • Make periodical assessment of agents and terminals
  • Coordinate ship-agent communication
  • Maintain KPIs for measuring times in port and keep data updated for all assigned ports
  • Coordinate shipping documentation

Communication and Data Keeping:

  • Keep vessel schedules updated and keep all relevant parties informed of the schedules and of any changes
  • Maintain organized voyage files as per Waterfront’s standards
  • Maintain excellent level of communication with customers and provide relevant information as required

Shipping Accounting:

  • Review and pre-approve estimated port cost and final disbursement accounts
  • Review or approve Laytime calculations
  • Pre-approve freight invoices

ISO, Responsible Care and Continuous Improvement:

  • Follow the Quality Policy and principles of Responsible Care at all times
  • Strictly enforce the procedures outlined in the WFS Management System
  • Continuously participate in the improvement of our quality, health, safety and environmental protection plans and procedures
  • Actively participate in the achievement of WFS cost and waste reduction
  • Use ISO and Responsible Care available tools to improve overall performance outcomes. Monitor tank cleaning performance and with the assistance of the Manager, Operations and the Manager, Quality and Responsible Care, instruct vessels, Owners and Managers with cleaning procedures

Qualifications

  • Post-Secondary education (Bachelor Degree or Diploma or Certificate) in a related field and minimum 5 years of experience in shipping operations
  • General shipping business knowledge
  • Ability to interpret and operate with Time Charter Contracts, Contracts of Affreightment, and Spot/Voyage Contracts
  • Ability to understand international regulations, documentation and relevant maritime laws
  • Must have a very good understanding on how ships, ports and terminals work
  • Ability to multitask, meet deadlines and proactively address problems that may arise
  • Must have good negotiating skills
  • Flexibility and ability to work with minimal supervision
  • Exceptional organizational skills
  • Attention to detail and accuracy skills are critical
  • Flexibility and ability to manage multiple priorities
  • Exceptional communication and interpersonal skills
  • Quick and agile learner
  • Must be available to be on call 24 hrs a day; 7 days a week.
